School of Natural Sciences Equipment Management

The mission of the School of Natural Sciences equipment manager is to work in collaboration with Business and Financial Services to track and manage all asset equipment within the school.

This includes, but not limited to, assisting faculty in disposing and selling assets when they reach the end of their useful lives.

What is Inventorial Equipment?

  • Inventorial Equipment includes items owned by or in the custody of UC Merced that:
  • Have an acquisition cost of $5,000 or more (including sales tax, shipping and any installation cost)
  • Are not disposable or consumable
  • Are stand alone
  • Have a useful life of at least one year
  • Qualify as tangible personal property (can be appraised for value)

Ways to Acquire Inventorial Equipment

  • Purchase – UCM purchases equipment from an outside vendor using the purchase order process
  • Gift – Donations from outside sources
  • Loan – Equipment on loan from other departments, UC campuses, or outside agencies
  • Transfer – Transfers from other departments, UC campuses or outside agencies
  • Fabrication – A fabrication is an item manufactured from component parts

Responsibility

The School of Natural Sciences equipment manager and the faculty have primary responsibility for the care, maintenance, physical inventory, control, and surplus of asset equipment.

Equipment Manager Duties

  • Controls, maintains, monitors inventorial equipment
  • Equipment verification and UCM asset barcode tag labeling
  • Perform physical inventories (regular physical inventories and sample audit inventories)
  • Create Equipment Inventory Modification Request (EIMR) forms reporting changes of asset equipment (campus and off-campus transfers and disposition transactions)
  • Maintain up-to-date list of shareable equipment
  • Support faculty with repair service calls

Surplus Property/Equipment Decommission?

Contact Equipment Manager Lolo Cardenas (lcardenas2@ucmerced.edu) and provide the UCM asset tag number of the equipment.

Moving or Relocating Equipment?

If equipment is to be moved or relocated to another location (room, building, agency, etc.), an Equipment Inventory Modification Request (EIRM) form must be submitted to properly update and track the location of the asset. Please fill out Equipment Inventory Modification Request (EIMR) form and send to Lolo Cardenas (lcardenas2@ucmerced.edu) for further processing

Need to know if the school has a specific lab equipment that is shareable?

The School of Natural Sciences has equipment that is shareable among faculty. Please click on the link to see the list of equipment available and equipment custodian.

Equipment Service and Repair?

Equipment repair and maintenance is performed by outside vendors. Please contact Lolo Cardenas (lcardenas2@ucmerced.edu) to determine equipment service vendor. Equipment manager can coordinate logistics with service provider for repair or maintenance.
